You can mention parts of your history you would like preserved, major gaps, upcoming anniversaries or anything else that may help us understand the project.

The assessment

Start with what you have.

RecordRoom reviews the information you provide to understand your club’s current situation and what could responsibly form the first version of an archive.

We work from the records your club already has. Existing RecordRoom archives have been built from material including spreadsheets, databases, PDFs, historical documents and existing club records.

You do not need to prepare everything before submitting this form.

  • what records your club appears to have
  • how organised those records are
  • what historical coverage may be available
  • what could realistically form the first version of an archive
  • whether sample material would help before we recommend a next step

What happens next

What happens after you submit?

The process begins with an informed review — not a commitment. There is no obligation to proceed.

  1. We review your enquiry.

RecordRoom looks at your club's situation and the types of records you currently have.

  2. We may request a sample.

If it would help, we may ask to see a small sample of the relevant records — not everything at once.

  3. We assess what is realistic.

We consider the usable records, archive potential, major gaps, likely scope and obvious extraction requirements.

  4. A private preview may be useful.

Where appropriate, we may prepare a small private example using your club's own records.

  5. You decide whether to proceed.

If you want to move forward, we agree the scope, fixed build quote and expected Archive Care level before the full build begins.
