Do our records need to be organised before we contact RecordRoom?
No. Your records do not need to be organised first. They can be well organised, scattered across different sources or only partially collected. Understanding what exists and how usable it is is part of the Free Archive Assessment.
What if we don’t know exactly what records our club has?
That is fine. Start with what you know. RecordRoom can help identify useful types of material and may ask to see sample records after reviewing your initial enquiry.
What if we have very little historical data?
You do not need a complete historical database to begin. RecordRoom can start with information that can currently be verified and establish an archive foundation that can grow as more records become available. Missing history cannot be guaranteed to be recovered.
What sports does RecordRoom work with?
RecordRoom is a multi-sport historical archive service. Each archive is shaped around the sport, the available records and the club’s requirements.
What is a Free Archive Assessment?
It is a no-cost initial review of your club’s situation and available records. It helps determine what could realistically be preserved, useful source material, likely scope, major gaps or complexities and sensible next steps. There is no obligation to proceed.
Does every assessment include a private preview?
No. A small private preview may be prepared where it would help demonstrate what can be built from the club’s records, but it is not automatically included with every assessment.
Records & Archive Building
What kinds of records can RecordRoom work with?
Possible sources include spreadsheets, CSV files, databases, annual reports, PDFs, scans, printed club histories, scorebooks, honour boards, old websites, current competition-platform records and mixed historical collections. Different formats require different levels of extraction and preparation, and not every format can be imported automatically.
Can RecordRoom extract information from annual reports and PDFs?
Yes, where the material is suitable and the extraction is included in the agreed project scope. Manual extraction can require substantially more work than using structured digital records, which can affect the initial archive-build quote.
What if we already have excellent spreadsheets or a database?
That can make archive building more efficient. RecordRoom can use structured information as the foundation for a connected archive that makes players, seasons, grades, records, honours and history easier to explore.
Does every RecordRoom archive include every feature?
No. An archive can include different combinations of players, career statistics, seasons, teams, grades, record books, rankings, honours, history, officials and search, depending on the available records, historical coverage and agreed scope.
How long does an archive take to build?
Build time depends on the amount, quality and format of the source material and the agreed archive scope. RecordRoom will provide project expectations when that scope is agreed.
Can we add more history after the archive launches?
Yes. RecordRoom archives are designed to grow. Normal annual updates and reasonable corrections may fit within Archive Care. Substantial newly discovered historical material may be assessed as separate archive-expansion work.
Accuracy & Historical Integrity

What happens if historical records are incomplete?
Incomplete records remain clearly identifiable as incomplete. RecordRoom does not automatically treat missing historical information as zero. Coverage notices or appropriate unknown and unavailable states may be used.
What happens if two historical sources disagree?
RecordRoom assesses the available evidence rather than silently choosing the most convenient answer. When a conflict can be resolved responsibly, the archive can reflect the supported conclusion. When it cannot, the uncertainty remains visible.
What if two players have similar or identical names?
RecordRoom does not merge player identities simply because names look similar. Reconciliation uses available evidence such as full names, initials, seasons, teams, grades, dates and supporting club information. If identity remains uncertain, an unsupported merge is not presented as fact.
Does RecordRoom change missing statistics to zero?
No, not where the historical source does not support that conclusion. Zero and unknown are different historical statements, and the archive preserves that distinction.
Can the club correct information after launch?
Yes. Reasonable evidence-backed corrections to existing archive information can normally be handled through Archive Care. Large historical investigations may require separate assessment.
Does RecordRoom guarantee every piece of club history will be found?
No. RecordRoom can preserve and organise surviving records but cannot guarantee recovery of information that was lost, never recorded or cannot be verified.
Website & Technology
Does a RecordRoom archive replace our existing club website?
Usually no. Your existing website can continue handling current operations such as news, registration, fixtures, sponsorship and current-team information, while RecordRoom provides the dedicated historical destination.
Where does our archive live?
A RecordRoom archive may use a dedicated RecordRoom-hosted address or a club-branded subdomain where technically appropriate and agreed. The exact structure is confirmed for each club.
Can the archive use our club branding?
Yes, where approved assets are supplied and included in the project. The archive is club first and RecordRoom second: your club’s identity leads the presentation while RecordRoom remains appropriately acknowledged.
Will the archive work on phones and tablets?
Yes. RecordRoom archive interfaces are intended to be responsive and usable across modern phones, tablets and desktop browsers.
Does the club need to manage the technical system?
Normally no. RecordRoom handles the archive platform and technical maintenance included in the agreed service. The club provides records, context, review and approval.
Can RecordRoom integrate with our current competition system?
RecordRoom can assess exports or available records from current competition systems where relevant. The updating method depends on the platform, data access and agreed archive process; universal direct integrations are not assumed.
Pricing & Archive Care
How much does the Free Archive Assessment cost?
Nothing. The assessment is free and there is no obligation to proceed.
Why isn’t there one standard archive-build price?
The work depends on record format, organisation, volume, manual extraction, reconciliation, archive depth and special requirements. A club with clean structured records should not be priced as though it requires extensive historical extraction, so RecordRoom provides a fixed build quote after assessment.
Will we know the build price before the full archive work begins?
Yes. The agreed scope and fixed archive-build quote are provided before the full build begins. Archive-build quotes are provided in AUD unless otherwise stated in the individual proposal.
How much does Archive Care cost?
Current normal club Archive Care levels are Small — A$199/year, Standard — A$299/year and Large / Complex — A$399/year. Unusually large or materially more labour-intensive requirements may be quoted individually.
All website prices are shown in Australian dollars (AUD).
What does Archive Care include?
Normal Archive Care includes ongoing hosting, routine technical maintenance, normal support, reasonable evidence-backed corrections, one agreed consolidated annual update and normal quality assurance. Updates affect relevant sections already included in the club’s archive.
What is not included in normal Archive Care?
Major additional project work may require separate scope and pricing. Examples include substantial historical research, major retrospective extraction, large new datasets, significant identity investigations, new modules, major redesigns, custom functionality or integrations, and mass image or document processing.
Can our Archive Care price change?
The Archive Care level is agreed upfront. If archive scale, annual workload or service requirements materially change, RecordRoom may review the level at renewal and communicate any change beforehand.
Do different sports automatically have different prices?
No automatic sport surcharge applies. Sport can influence record complexity and annual update work, but pricing is based primarily on the actual archive and work required.
Data, Privacy & Ownership
Does the club keep ownership of its historical source material?
Supplying source material to RecordRoom does not mean RecordRoom claims ownership of the club’s underlying historical records. The agreed service and use of material remain subject to the project agreement and Terms.
Can RecordRoom use publicly available historical information?
Public historical information may be assessed and used where appropriate, while still applying RecordRoom’s historical-integrity standards and relevant legal and privacy obligations. Public availability does not automatically mean unrestricted use for every purpose.
What happens with private or sensitive information?
Only information appropriate to the agreed public archive should be published. Private, sensitive or unsuitable material is not automatically published simply because it appears in supplied records. See the Privacy Policy for more information.
What about junior-player information?
Junior and personal information requires appropriate handling. Publication decisions consider the source material, historical context, privacy, appropriateness, relevant club approval and applicable legal and policy requirements. See the Privacy Policy.
Who reviews the archive before publication?
RecordRoom builds the archive privately and the club has an opportunity to review relevant content, identify supported corrections and approve publication through the agreed project process. RecordRoom remains responsible for its own quality assurance.
